Navigating the “New” RightFax University

We recently introduced the new layout of our free RightFax training and support website, RightFax University. Although the website looks different, you will find that all the same fax resources are there, and more are being added as time goes by.

This new website is designed to make it easier for you to find exactly what you are looking for. Whether you are seeking RightFax support videos, do-it-yourself fixes to common issues or additional information on products and add-ons, you will be able to access it all. While we are confident that you will love the new website, we understand that big changes often have an adjustment period, which is why we are taking the time today to help you navigate the new website and find everything quickly.

Navigating RightFax University

There are three main sections of the new RightFax University:

Faxing Still Leads the Way in These Industries

Who still faxes in 2018? If the statistics that came from surveys in 2017 are any indication, many companies from a variety of industries still rely on faxing to keep their businesses running.

While faxing isn’t an integral part of every industry, there are several industries where the technology is a key part of day-to-day operations, and it keeps growing each year. The International Data Corporation’s (IDC) 2017 fax survey found that 82% of users saw fax usage increase or stay the same over the previous year. The average growth was 27%, and almost a quarter of respondents reported growth between 50-74%.

Some of the major industries who still fax include:

Healthcare

Security and compliance are two major concerns for healthcare companies, which is why fax is still used as one of the primary forms of document transmission. HIPAA regulations and doctor-patient confidentiality has produced a need for increased security, and the fax industry has kept up with each new regulation and concern for privacy.

According to the IDC survey, faxing in healthcare grew by 9% in 2017.

Manufacturing

Manufacturing contributes trillions of dollars to the U.S economy every year. It is a massive industry that has more than 250,000 firms and 12.5 million workers (accounting for about 8.5% of the US workforce). As the industry grows, exports increase and more goods are produced, manufacturers have a greater need for reliable faxing. Manufacturers still use software/services like RightFax to transmit purchase orders, receipts, product specifications and many other document that are vital to their operations.

It’s no wonder that this industry led the way in fax growth last year, increasing by more than 16%, according to the IDC survey.

Why the Most Technologically Advanced Countries Still Fax

We have email platforms. We have instant messaging applications. In 2017, scientists in China even teleported a photon to a satellite orbiting more than 310 miles above the Earth’s surface. In spite of these transmission technologies, fax still lives on. But why do the most technologically advanced countries, like Japan and the United States, still use fax as a method of transmitting everything from health records to financial and sales documents?

The Old Technology That Keeps on Giving

Fax technology is old, but it’s still widely used by organizations across multiple industries. Healthcare organizations across the world use faxes to transmit health records, prescriptions and much more. Manufacturers use it to send and receive purchase orders and receipts. Even colleges use fax technology to sign new NCAA football recruits. As technology evolves, fax remains a go-to method for many organizations across the world.

But Why?

The two major reasons are security and compliance. While email platforms like Google and Outlook are generally secure, people still don’t trust them enough to use them as a method of conducting financial transactions. When you throw federal and state regulations into the mix, which levy heavy fines against organizations that mismanage sensitive documents (even unintentionally), fax becomes an even more attractive method of secure document transmission.

Modern faxing has also become more easy to use. Businesses can connect their RightFax server and other fax technology to their email platforms, allowing them to combine the security of fax transmissions with the simplicity of email interfaces. Japan Has Another Reason

On top of security, compliance, etc., there’s a rather interesting reason why many businesses in Japan still use fax as their primary method of transmission: Kanji.

Kanji are complex logographic symbols that make up much of the writing system in Japan. These symbols are so complex that it took years for suitable keyboards to be created that could write them within word processing programs. By the time these keyboards were created, older generations of workers were not adequately caught up on using them, and Japan’s aging population and low birth rates have resulted in an increasingly aging workforce.

To this day, handwritten faxes are still very common in Japan. However, fax to email services are becoming more common by the day.

RightFax Support Tip: Resolving SSL Security Errors When Starting RightFax

Support DashboardRightFax users may occasionally encounter an SSL security error that prevents them from starting services in Enterprise Fax Manager. These errors may originate from the RightFax RPC Server Module, RightFax DocTransport Module or the RightFax Database Module.

If you take a look at the event log, two of the errors you may receive are:

  1. [Microsoft][ODBC SQL Server Driver][DBNETLIB]SSL Security error
  2. [Microsoft][ODBC SQL Server Driver][DBNETLIB]ConnectionOpen (SECCreateCredentials()).

You may also see the following error in the Windows Application event log:

  • SChannel Error with EventID 10013

Why Does This Error Occur?

SSL security and Event ID 10013 errors in RightFax occur when there is a misconfiguration with the SChannel in the local server. There is usually something within the local security policy that is blocking the secure channel connection from being made.

In many cases, the system has failed to establish a secure connection because the Federal Information Processing Standards (FIPS) have no been enabled on the fax server.

Solving the Issue

SSL security errors can usually be resolved by enabling FIPS on your RightFax server. To do this, follow these quick and easy steps:

  1. Open the Control Panel
  2. Click on Administrative Tools
  3. Open the Local Security Policy
  4. Open the Local Policies tree view to see the options there
  5. Select Security Options
  6. Within the Security Options, you should see the following policy: System cryptography: Use FIPS compliant algorithms for encryption, hashing, and signing.
  7. Open the Properties of this policy by right clicking on it and selecting Properties.
  8. Choose Enable to activate the policy
  9. Click Apply and then OK to close out the window
  10. Close the Local Security Settings window
  11. Restart RightFax Services

RightFax Support Tip: Resolving SSL Security Errors When Starting RightFax

1. Upgrade to the Latest Version

RightFax 16.2 has been available for the better part of a year. If you haven’t upgraded to this version, you are missing out on valuable features and upgrades to your RightFax environment.

Keep in mind that RightFax 10.6 will enter Sustained Maintenance in November, 2018, and any version older than RightFax 10.6 is already Past Maintenance.

2. Add Modules

RightFax add-on modules are the best way to customize your server so that it provides solutions based on the needs of your organization. Specific modules can be added to your RightFax environment that add features like:

  • Converting fax images into searchable text (Searchable PDF Module)

Integration, Made Easy

RightFax Support Tip: Faxes Stuck in Conversion

SupportYour RightFax server can send faxes from a variety of devices and will generally convert files to the correct format before sending. Although this process is simple, users will occasionally run into an error where one or more faxes are stuck in the conversion process.

RightFax versions 10.6 and later have tools that monitor conversion buildups, allowing you to monitor and take notice of faxes stuck in conversion. When this happens, you will encounter one of two issues:

  1. Faxes stuck “In Conversion”
  2. A “Problem Converting Fax Body or Coversheet”

There are a few approaches to take when faxes are stuck in conversion. The first diagnostic step to take is to determine if the issue is isolated to one user or if it is impacting all users.

Diagnosing and Solving the Issue for All Users

If all users are impacted, check to see if the following services are started:

  • RightFax Conversion Engine services
  • RightFax Workserver Module services

If either of these services is not running, start it. If they are running, try restarting them. You may even need to reboot the server.

If That Doesn’t Resolve the Issue

If restarting doesn’t resolve the issue, or if services fail to start, you can gather more information on the conversion failure by:

  1. Checking the RightFax Application Log in Windows Event Viewer for information regarding the conversion process
  2. Debugging the services performing the conversion

If services start and conversion takes place while debugging, this indicates that there could be a service account issue. If this is the case, the rights or authentication on the service account configured for the conversion services may have changed.

To verify or make changes to the RightFax service account, use the Server Module service.

Getting Started with RightFax FaxUtil

Learning to use RightFax FaxUtil is fairly easy once you get the hang of a few basics. Although the interface may look intimidating to a new user, it won’t take you long to learn everything you need to send a fax. With a bit of study, you will be creating and sending faxes (complete with cover pages) in no time.

If you are struggling with the basics of FaxUtil, or if you have no idea where to begin, follow this quick step-by-step guide to get the hang of using your new fax server software.

Creating a New Fax

Faxes can be sent from a variety of devices and in many formats. To create a new fax for sending, follow these instructions:

  1. Click the “New Fax” button to open a new fax information dialog box.
  2. Once the box appears, add the fax recipient’s name and phone number in the appropriate boxes.
  3. On the right side of the box, you will see options you can select for sending a fax that include:
    1. Fine mode
    2. Use cover sheet
    3. Hold for preview
    4. Use smart resume
    5. Create PDF image
    6. Use cheap rates
    7. Delay send
  4. At the top of the fax information box, there will also be tabs to create options for “Cover sheet notes,” “Attachments” and more.
  5. Once you have finished setting the options for your fax, click “Send” to send the fax.

Adding a Cover Sheet

To add and a cover sheet to your fax and configure its setting, follow these steps:

  1. Click the “New Fax” button to open a new fax information dialog box.
  2. In the “Main” tab, on the right side, check the box for “Use cover sheet.”
  3. Click over to the “Cover Sheet Notes” tab and inserts notes to be placed on the cover sheet.
  4. Click over to the “More Options” tab and select the type of cover sheet under the “Cover Sheet File” dropdown menu. Your system can have a default setting, or you can choose from several document types.
  5. After you have filled out the recipient’s name and number on the “Main” tab, click “Send” to send the fax.

Attaching Documents to Faxes

RightFax enables you to attach multiple document types to outgoing faxes. To attach a document, follow these steps:

  1. Click the “New Fax” button to open a new fax information dialog box.
  2. Click the “Attachments” tab on the fax information box.
  3. Click the button (should look like a paperclip) to attach a document.
  4. A system window will open up allowing you to select a document from your computer.
  5. Browse and select the file you wish to attach and select “Open”
  6. Continue to prepare and send your fax according to the instructions in the previous sections.

Notice to All RightFax 10.6 Users

As of November 1st, 2018, RightFax 10.6 will enter Sustaining Maintenance. This means that the OpenText core development team will no longer be conducting ongoing work on patches, updates, and fixes to reported issues.

While your fax server will continue to operate after this date, and we will continue to provide support and troubleshooting (if you have a RightFax support plan with us), you will lose out on many benefits of future updates, enhancements, and features normally provided by OpenText. You will still have access to:

  • An unlimited number of support request submissions
  • Online documentation
  • Technical articles and discussion forums
  • Webinars and events
  • Global Service offerings

Also, keep in mind that you will still be able to report products defects and request hot fixes, however work by OpenText’s core development team will be discontinued. When a RightFax version enters Sustaining Maintenance, we highly encourage everyone to upgrade to a version that is still in Current Maintenance.

Choosing Between T.38 and G.711 in FoIP

When implementing a Fax over IP (FoIP) solution for your business, there are two main options that you can choose between: T.38 and G.711. Today we are going to focus on the differences, and the pros and cons, of T.38 and G.711 for enterprise fax solutions.

T.38 versus G.711

A T.38 fax is an ITU-T recommendation that allows fax data to be carried over IP networks. When you send a fax over an IP network, the data is directly transmitted in T.38 without any conversion to an audio stream.

Some of the benefits of using T.38 include:

  • A significant reduction in the required bandwidth
  • Support for data and control of redundancy, which mitigates the effects of packet loss. Packet loss results large gaps in fax data and is prevented by switching to a lower transmission speed.

Some of the disadvantages of using T.38 include:

  • Gateway support for fax parameters (V.34 transmission speeds, Error Correction Mode, etc.) is not universal.
  • Can add latency and cost to fax services.

G.711 is an ITU-T recommendation for Pulse Code Modulation (PCM) of voice frequencies. G.711 requires high bandwidth (about 64 kbps) because it uses an uncompressed format. When sending a fax using G.711, digital fax data converted to a PCM audio stream, which is then sent as G.711 Real-time Transport Protocol (RTP) packets.

Some of the benefits of using G.711 include:

  • A simpler and often more cost-effective approach than T.38 because of its ability to leverage voice data infrastructure.
  • Less likely to suffer interoperability issues with different vendors’ products.

Some of the disadvantages of using G.711 include:

  • Not optimized for fax transport over IP networks.
  • Does not typically support packet redundancy.
  • Can result in significant packet loss when used to transmit moden data.
  • Increased transmission errors are likely.

Please make sure to consult with your Fax Guys account manager prior to changing your settings as significant transmission errors can reduce the reliability of your fax server.
